Monthly Reports Follow
Under Royalties Reports in the left hand menu, there are a number of reports that can be generated. Detailed instructions are available for each of these. In this article you will find instructions specifically related to Monthly Reports.
When you click into this option, you will see several sub tabs, as shown in the red oval within the following screen shot.
The way to use each separate sub tab is the same, so please apply these instructions to all of the following monthly reports sub tabs:
- Sales
- Returns
- Adjustments
- Net Sales
- Average Discounts
The system is set up to show you the data for the most recent month based on the date you access this part of Sales and Royalties. If you like to see more than just the last 30 days, you need to adjust the From and To dates on the top.
You can then filter and retrieve data related to each sub tab based on the following options should you want to break down the data even further:
Click on the magnifying glass to search your system for Contributor, Book Title or Retailer. Alternatively, you can type the information direct into each box.
Please note that the filter has 4 options: Top 10, Top 20, Top 30 and All.
You can then decide if you want the output to reflect the currency value or in units/copies.
By selecting the downwards arrows ('show more filters') next to the retailer field, more filters will be made available to you:
Year End allows you to create a nominal cut-off point for your Frontlist / Backlist. It will automatically populate with the date entered in the 'From' field, but you can edit this.
In the screenshot above, it is essentially saying that the cut off point for when a product is determined to be Frontlist is 22/02/2024. Ie, anything publishing before then is considered backlist. This only affects the data shown in the reporting in this screen if you use Front/Backlist as an available column. This will label titles as Front or Backlist, according to where they fall relative to this 'Year End' date.
You can also adjust the information that is brought into the screen. Simply drag any items from the right hand side, called Available Columns, to the left hand side, called Selected Columns, as shown below:
Once you click on the blue GO button, the system will retrieve the information you have requested. What will be displayed below all the filters will be a line by line list of the data. Below that will also appear a line graph that will give you a quick at a glance view of the movement of sales.
In the following example, we have decided to look at the sales over the course of the month of September 2019.
It is also possible to download the information into an Excel spreadsheet so you can then manipulate the information for reporting purposes and email it to any number of recipients. In order to do this, click onto the Download button in the top right hand corner of the screen. We have marked it with a red circle in the image below:
The data from above appears like this when downloaded into an Excel spreadsheet:
As mentioned earlier in the article, you can access further data in the subsequent tabs available here to you by applying these same instructions.
Tips and Tricks
If the report that you have run does not generate in screen, then it may be because the system has sent a link to the final report to you. This will appear as an email, which can be accessed via the area highlighted here:
