Generate AIs, catalogues or order forms from Title Manager

Your Title Manager system has the ability to access a title's rich data to create separate sales and marketing material in PDF format. The functionality here is as good as the data behind it. You can add information about the title in the Blurbs tab. You can (and should) add cover images in the Media tab.

Once you have the extra content in place on your system, you'll want to generate an AI for an upcoming sales appointment. 

Navigate back to the main Book List in your Title Management system.

Type the name of the relevant title in the search box located towards the top of the screen. When you click on the blue Go button, the system will automatically pull up all related titles to your search. Once these titles are in view, you can then generate an AI. In the screenshot below, you can see the relevant button for producing an AI within the column to the far right, which we have marked in red. This is the button you want to push when you are ready to generate 1 AI only:

When you click on this blue AI button, you will be taken to the following screen where you can choose from a set a templates:

Please note that your organisation may have decided to pay an extra fee to design its own AI rather than taking the templates from Stison. If so, your templates will appear on the top of the list.

If you have uploaded your Logo onto Stison, then this will appear on the standard templates that we have in the system. To do so, navigate to General --> Configuration --> Select your Organisation --> Web Management Tab --> Logo File field. Select Browse and upload your logo from your device.

When you click on the relevant item, the PDF will automatically download to your download's folder. Below is a screenshot of an example AI, as generated from the Stison Title Management system. Please note that the information within this example is not real, but has been put in to simulate an AI.

GENERATING SEVERAL AIs AT ONCE:

You may want to generate several AIs at the same time. You can do this very easily - the first thing you will want to do is tick the relevant titles within your Book List and then click on the green Show Selected button towards the top of the screen. In the screenshot below, you can see we have ticked 3 titles for which we would like AIs generated:

Once you are satisfied with the list of titles you've selected, you then want to click on the green button towards the top of the screen. We have marked it in a red box in the screenshot above.

AI EDITOR FUNCTION:

The Stison TM system also provides an editor for your AIs, allowing you to edit AIs on an individual basis. In order to get to the AI editor portion of the system, you must click on the icon that appears next to the PDF icon for an AI. We have circled it in the image below:

Once you click on that icon, your AI will pop up on your screen in an editable format, with a menu of options on the left. The following screenshot is an example. Please note that each item in the left-hand menu is being drawn from whatever has been input in the title's record. If no data appears there, then no data will come through to this AI.

Where is the Data?

If for some reason data that was added in TM is not yet coming through to the AI Editor, click on the 'Restart' button in the bottom left-hand corner. The AI should update accordingly. You  might also see a warning note on the top of the screen letting you know that data in the system has changed since the AI was created. Again, you will need to hit Restart, then Save...

GENERATING ORDER FORMS AND CATALOGUES:

Generating catalogues and order forms from your Stison system works in much the same way as generating AIs.

First, you will want to Create a Book List.

In the screen shot earlier in this article, there is a set of 3 tabs displayed. The first tab is for the AI, whilst the second and third tabs are for order forms and catalogues. In order to access all of these, you must click onto Generate AI again. Then you will ticket on the Catalogue tab, as shown in the screenshot below:

You then need to click on the relevant template. In the example below, we have clicked on the second option: Catalogue Standard with 2 titles per page:

Order forms can be downloaded in Excel or PDF format, or you can also edit it first in Editor mode.
