Create a Book List Follow
You may wish to bring together sets of titles in order to generate catalogues, leaflets, order forms etc. We call this a Book List on our system.
To create a book list, choose Reports from the main menu, and then navigate to Book lists. A new screen will come up with the list of all your already created book list headings, or it will be empty if you haven’t yet created one:
To create a book list, click on the Create New button and the following screen will come up:
Click on the correct List Type, depending on which is needed: will it be Shared, in other words a list that everyone can see; will it be available only to a specific Group of people; will it be Private, in other words, a list only you can see and manipulate? Choose accordingly.
Now type in the List Name and then click the Create button. The list title you've created will then be visible on the main Book List page, and also will inhabit the Current Book List drop-down menu in the left-hand corner of the screen, as shown in the red square in the image below:
Choose your list from within the drop-down menu, and you will be taken to the main Books screen of your Title Management system, where you will need to add titles to your list. To do so, click on Show All Titles, which we have marked with a red box below:
When you click on Show All Titles, a full list of your titles will show up (as in the image below). Click on the circles in front of the titles that you want to add to your list (marked with a red circle on the image below):
Once you start ticking the relevant titles, a new button will emerge that says: Show Set Only. Click on it when you have selected all of the titles you need in this list. The screen will automatically strip away any titles from your view that weren't ticked. You can now rearrange your titles in an order you want them to be in the catalogue. To do so, drag along the arrows (marked with a red circle in the image below) and move the titles around:
If you wish to make a book list out of a book series or subject or publication date range, etc. click on Advance Filters and apply accordingly. You will then be able to choose titles for your book list from the selection of titles on which the chosen filters apply. Clicking on Advance Filters, you will be taken to the screen where you can set your filtering. When you are finished, click GO:
Alternatively, you may have a list of ISBNs in a spreadsheet. You can simply paste the ISBN column from Excel into the search box, and then click the top of the book list column to add each page (or click show all to add all at once).
Once you have added titles to your book list, and rearranged the position of the titles in the order you wish to see them (for a catalogue, leaflet etc), you are ready to click on the green button in the right hand corner, as marked in a red circle on the image below:
When you click on the green button called Generate AI, you will be given options to generate sets of AIs, a catalogue or an order form. Choose the item accordingly and then the document will be downloaded onto your computer. You can retrieve it from your downloaded folder.
Please note that the book list will automatically be saved. When you access it later, by clicking on the name in that left-hand drop-down menu within the men Stison menu, the titles will appear in the same order as you left them.
