Bulk Uploading Prices Follow
You may be adding items to your system in bulk, as in when you are uploading your backlist to the system for the first time. In order to do this for various prices, you will need to create a spreadsheet (.xls) or .csv file.
It is worth noting that, on initial upload of prices, you must have the following columns in your spreadsheet: ISBN (or alternative identifier), Supplier, Product Availability, Price Type, Currency Code, Price, Tax Rate, Tax Amount.
For any adjustment made to a price after the initial upload, all of the above columns should also be included. By including all of this data, Stison will be able to identify the exact price that you wish to update, and will therefore be able to do so. If you do not provide this detail, the system will not be able to exactly match the price, and will therefore create a new one.
Tip: to ensure that the data that you upload against a price that you are updating matches exactly what's on the system, you can download this information from the Book list, make the necessary amendment, and upload the same file.
Here is one example of the column headings you could have in your spreadsheet to ensure all necessary data is uploaded to your system. In our example, we have demonstrated with a range of currencies and more than one supplier.
Here is another example of how your spreadsheet could look, perhaps if you're updating prices that have already been uploaded to your system once, and they are for one supplier rather than several. Please note that you will need to adjust the mappings, as detailed below:
Further instructions regarding Tax Rate and Amount can be found at the end of this article.
When your spreadsheet is completed, navigate to your Book List in Title Manager. In the top righthand corner of your screen is an Upload button, as shown below:
Click on that button and you will be prompted to locate the relevant file on your computer, as shown below:
When you hit OK, you will then see the item appear within the Title File field:
Click on the blue Update button. The system will then try to intuitively map the headings, and you will need to carefully check each item to ensure accuracy. Please note that in the case of price updates, many of the fields are located towards the end of the drop down menu under the subheading: Prices, as shown here:
Here is how the columns should be mapped, noting that we have asked the system to ignore the Title column. This is because if any information here is different from how it already appears in the Book list will override it. We also don't need to upload the product form or publication date as that information already exists on the system.
When you are satisfied that the mappings are accurate, click on the blue Process File button at the bottom of the screen. The following pop up will appear, asking you to be sure you are ready:
Click OK; the system will then upload and allocate the data accordingly, as shown below, telling you when it is done.
Please then review a handful of the titles to make sure the information has uploaded accurately by going back to an individual price tab.
If there are any problems with the spreadsheet, the system will flag them up on the trop of the screen in red. Click onto the relevant items to expand and see what the problems may be.
Top Tip: If you ever need to access any spreadsheets that you've uploaded to the system in order to cross-reference information, you can do so in the Assets section of the system. This can also help you to troubleshoot any discrepancies or issues that may arise when several people are responsible for uploading similar data.
When adding prices with tax:
Here is an example of how the spreadsheet can look. Please note that the tax amount has been taken from the Net price rather than the Gross price (RRP). In order to get the accurate Net price, we have applied the following equation: Net price = RRP/ (1 * tax rate). We then subtracted that figure from the RRP in order to get the Tax amount.
Once the spreadsheet is ready to go, follow the upload instructions as laid out earlier in this article. In the screenshot below, we've shown you how to map the columns. We've ignored columns 1 and 3 in order to preserve the data already on the system.
When the upload is finished, return to one of the titles to cross reference the data within the title records. Below, we've shown you the information for Title 1, specifically the Overseas Distributor where the newly updated AUD and NZD price information has been added.
Here is a close up of the relevant information:
Making adjustments on the prices tab
If you have uploaded data on the prices tab, but wish to add more information, you will need to specify which price, or supplier it relates to.
For example, if you wanted to upload product availability or expected ship date, you would need the following columns: ISBN, Supplier, Product Availability and Expected Ship date. If you do not include the supplier information, the system will not know which supplier to upload this data against, and therefore it will not be applied.
