How can I merge duplicate contact records? Follow
You may have duplicated contact records on your system for a number of reasons - for example, a typographical error during a bulk upload may have caused the system to think you are trying to create a brand new contact instead of matching it to the current one. Stison gives you the ability to merge duplicate contacts in three areas of the system:
- Contacts
- Organisation Admin
- Title Manager --> Contributors
By navigating to any of these screens, you'll be able to see the green Show Duplicates button.
Pressing the button takes you to the following screen:
Here, you can see duplicates of any names and email addresses, as well as records that are phonetically similar in name. This list is organised by first letter.
If you would like to merge any of the accounts, you can choose which account you would like to keep by using the arrows in the Merge column. The accounts will then be highlighted in green and red depending on which direction you would like to complete the merge. This is essentially demonstrating which contact's information you would like to keep.
As you can see in the image above, you will be merging the red account into the green account, thus keeping the green record.
If the contact has a tick in the Statement column, this means that you can't merge the information.
