Downloading your Royalty Statements as PDF's Follow
From within Royalties Manager, once you have generated your royalty statements, it is possible to download your royalty statements. You can do this both individually or in bulk.
You can do this in the draft stage (before you have closed your royalty period), or once you have closed your period.
Downloading Statement information in the draft stage
When a royalty period is in the 'checking' phase, you may wish to download PDF versions of your statements. To do so, you will first need to generate these PDF's.
In the Pay Run screen, when a period has been run, you will see the following symbol in the Get Reports column:
Selecting this button will start the generation of your draft PDF's. If you have a high number of statements, please allow some time for this generation to complete.
Once they have been generated, you can download these PDF's by selecting the down arrow next to the Statements button:
Selecting the PDF symbol on the far right will download these draft PDF's to your device. When the download is complete, you will see a notification in your Stison inbox:
Open up your inbox and select the statement download, and these draft PDF's will download to your device.
These draft PDF's will be watermarked, as shown below:
By default, each statement will download as an individual file (within a ZIP file). If you would like to download your statements as single, merged PDF, then you will need to do so from within the Statements screen.
- From the pay run, select Statements.
- Select the cog at the top of the screen
3. Select 'merged' rather than individual
4. Finally, from within this screen, select the download PDF's button
Downloading Statement information once the period has been closed
1. Navigate to Sales/Royalties from the main menu on the left of your screen.
2. From there, choose the reports menu item.
3. Select the Pay Run menu item. (#3 in the image below)
4. It's likely that you have several configs on your system - meaning you have people who are paid quarterly, half yearly or yearly. If this is the case, you will receive the following message. Please choose the relevant one.
5. After the period is closed, a PDF button will appear. Selecting this button will generate PDF versions of the remittance and statements.
PDF generation can take some time dependent upon the number of pages, so they are added to a queue and the queue progress is displayed within the pay run area. In the example below, there are 7 statements remaining to be converted to PDF:
6. Once the PDF's have been generated, select the down arrow to the right of 'Statements'.
7. You will then see three icons, representing the 3 ways in which you can download your statement information:
8 . Select the PDF symbol on the far right, and your statements will download to your device.
For information on downloading your statements in Excel format, see here.
Downloading individual statements
The steps outlined above will download all of the statements included in your pay run. You also have the option to download individual statements.
1. Click on the word Statements from the relevant Royalty Period.
2. You will be taken to the Statements screen. At the top of each summary statement, you will see a PDF.
3. Select this PDF, and your statement will donwload.
Now that you have generated the PDFs, your system will automatically add an Archive button beside the pay run. By clicking this button, you move the file to a new storing position in Royalties, just below the recently generated reports.
