Closing a Royalty Period Follow
Once you have generated your Royalty Statements, reviewed them, and wish to send them out, you must close your royalty period.
Closing a royalty period in Stison does two things:
- It prevents any further amendments being made to your statements. Those statements saved in a closed period in Stison will remain fixed.
- It allows you to email those statements from the system to your payees.
Please note that this process of closing a period cannot be undone. Please only close off your royalty period when you have reviewed the statements and you have confident that no further amendments need to be made.
How to close a royalty period
When you are happy with your statements, navigate to the Pay Run screen. Here, you will see you have the option to 'clear' or 'close' your pay run.
Select 'Close'.
After the period is closed, a PDF button will appear. Selecting this button will generate PDF versions of the remittance and statements.
PDF generation can take some time dependent upon the number of pages, so they are added to a queue and the queue progress is displayed within the pay run area. In the example below, there are 7 statements remaining to be converted to PDF:
Once you have run the PDFs, a new button will appear that gives you the opportunity to Archive the pay run statements. This will simply move the item beneath a heading called Archived Reports. It's a good way of organising your system so that you can see quite quickly which pay runs are completed. You can see what we mean in the following screenshot:
