Manually uploading Stock Follow
A user can manually upload stock information to the system. In order to do this, you will need to have a spreadsheet (.xls), .tsv or .csv file. Generally this spreadsheet will be obtained from your distributor.
Here is one example of the column headings you could have in your spreadsheet to ensure all necessary data is uploaded to your system. Note: Supplier is mandatory.
Note: Please be careful with csv files - when you save the file - unless you format the ISBN column as a number, the precision of the ISBN column can be lost making the file useless.
When your spreadsheet has the required information, navigate to your Book List in Title Manager. In the top righthand corner of your screen is an Upload button, as shown below:
Click on the upload button and you will be prompted to locate the relevant file on your computer. When you select the file & hit OK, you will then see the file name appear within the Title File field, click on the blue Update button which will lead you to the next screen.
The system will then try to intuitively map the headings, and you will need to carefully check each item to ensure accuracy. Please note that in the case of stock updates, many of the fields are located towards the end of the drop down menu under the subheading: Stock, as shown here:
When you are satisfied that the mappings are accurate, click on the blue Process File button at the bottom of the screen. The following pop up will appear, asking you to be sure you are ready:
Click OK; the system will then upload and allocate the data accordingly, as shown below, telling you when it is done.
Please then review a handful of the titles to make sure the information has uploaded accurately by going back to an individual price tab.
If there are any problems with the spreadsheet, the system will flag them up on the trop of the screen in red. Click onto the relevant items to expand and see what the problems may be.
There are a few places that you can see stock information:
Summary Screen in Title Management
The summary screen in title management when you initially open a title will display stock information in the bottom left hand corner.
The price tab
If stock has been enabled in your configuration (General > Configurations), then you will be able to see the stock to the right of each distributor on the price tab.
Additionally on the price tab, there is a stock history lookup. Beside the Supplier / Distributor label, there is a small clock icon with a anticlockwise arrow around it. if you click on this icon - if there is sufficient stock history - the system will display a stock graph. The data points contain stock and date for each supplier.
If you hover over a data point it will display stock & date of the point. Stock replenishment is fairly easy to see with this graph.
Price history is displayed above the stock graph.
Reporting
Please also have a look at the stock based reporting in the system: Reports > Our reports, has a section dedicated to stock, rates of change, stock value, etc.
