Creating A New Contributor Follow
Contributors can be added to your system via the Contributors menu item under Title Management:
It is possible to bulk upload your contributors to the system. The instructions in this article will take you through adding an individual contributor.
Click on: Create New. You will then be taken to a screen with blank fields ready to be filled in. Type in all the information about the contributor. Note that the contact type (contributor) and sections (royalties) will already be filled in - as contributors must be available in these sections of the system. The compulsory fields are marked with "*":
Within the Name & Bio tab:
Tick the appropriate Type and then the appropriate Sections. For instance, in the example above we have ticked "Contributor" and "Royalties".
Title: Choose the appropriate title from the drop-down menu.
First name: Enter the first name of the contributor.
Last name: Enter the last name of the contributor.
Salutation: Enter an appropriate salutation if relevant.
Image: To add a contributor’s image, click on the choose file button to access images on your computer. There are two symbols that will appear above the image. The Pencil and paper icon will allow you to store notes on this image. The link symbol will allow you to enter information on the rights held for this image. When rights information has been entered, the symbol will turn blue.
Company: Enter the contributor’s company.
Position: Enter the contributor’s position within the company.
Agent: Enter information about the contributor’s agent.
More details: To add even more information, click on More Details and the following fields will become available:
Enter Qualifications/Honours, Titles (After Names), Affiliation, ISNI and ORCID.
Tick the box if this is the author’s Alias / Nom de Plume
Enter the Date of Birth (and Death if relevant)
Click on Contact Details and you will see this:
Click on the note symbol to the right or on Add another contact method to enter contact details:
Select a Contact Type from the drop down menu and add it to the Value field. When you are done, click on the “+” to add another Value.
To add another contact method, click on: Add another contact method.
To delete a row, just click on the bin symbol in front of the row you want to delete. To change the order of contact methods, just move them up and down along the arrows in front of each row.
To add an address, click on: Addresses and new fields will come up on your screen:
Check the correct boxes if the address is Default or/and Royalties Default.
Click on the note symbol or Add another address to enter the address details as below:
Select the Type from the drop down menu and type in the Address, City/Town, County/State, Postcode/Zip.
Select Country from the drop down menu.
To add another address, click on: Add another address.
To delete an address, click on the bin symbol in the upper right corner.
To add Marketing details, click on: Marketing and new fields will open:
Tick the box if the marketing is Catalogue or/and Mail and select the Source from the drop down menu.
If you want to add Notes and/or Conferences, click on Notes/Conferences and the following box will open:
To add Tags (filters) click on Type Filters and 3 sub-tabs will come up:
Select from the drop down menu of your existing tags if the new tag has a parent tag. If the tag is independent, then leave -parent- in the field and type in the name of the tag (for example: cookery). When you have finished, click the Add button.
Click on the Recent tab and all recently used tags will show up. Just tick a box in front of the tag you wish to apply.
Click on All and all tags/filters you created will be there, choose accordingly.
When finished with adding all the info about your new contact, click the Create button.
Tips & Tricks
Contributors created via the Contributor menu item will automatically appear in your Contacts list. If you are uploading a contact and wish them to appear in the contributors list, you must select the 'Contributor' type, and 'Royalties' section, as shown in the screenshot below (this happens automatically when creating a contributor within Title Management):
