Creating Royalty Schedules Follow
In order to run Royalties, you need to tell the system how often you want to run statements. There is no limit to the number of configurations that you can make, for instance you may run an e-book schedule quarterly and a traditional copy annually. Keep in mind that the more configurations you have, the more administration is required.
It is unlikely that you will need to edit this option once created, with the exception of changing a from email address.
Using the menus, navigate to Sales and Royalties / Royalties Config.
If this is the first time you have done this, you will see the following screen.
Click Create New or click on an existing configuration to edit it.
This will open a new screen detailed below.
You should then fill in the fields; details of what is required are listed in the table below. The fields marked with an * are mandatory.
* |
[Name / Desc] |
This is a unique name so that you will be able to find the appropriate run quickly. |
|
[Royalty Prefix] |
If you have more than one royalty configuration, you'll need to specify a prefix. For a single configuration system, you can leave this blank. The prefix, however, makes the statement numbers and remittance numbers unique for each configuration. |
* |
Pay Run Period Length |
The number of months in each period. |
* |
Pay Run End Date |
The last date of the period prior to starting date of the first proposed run with your new Stison system. The system will currently only allow you to choose the last day of any month. |
Empty Statements | Checking this box will generate statements for all titles regardless of whether they have had any sales attributed to them or an unpaid balance. Leaving it blank will mean that statements are not generated for titles that have no activity or no outstanding balance.
Generate Remittance | The system will create remittance statements for you so that you can notify your contributors when their Royalty Payments are about to be paid. This means the statements can be sent out before that.
From Email Address | Here you can customise the email address that all the Royalty Statements are sent from. If you leave this blank the system will default to sending the statements from the email address linked to the user who is signed in sets the emails to send. |
The completed form should look similar to this:
When this is done, click Create. The config screen now has your new frequency added.
You can then repeat these steps for as many configurations as necessary.
When you are finished adding all of your configs, you should then move to the Royalties Preflight report where you can ensure that the details you've added are all working accurately.
Further information is available regarding using the royalties module now that your configs are done.
