Setting Up Your Sales Types Follow
Before you can start using this system in any meaningful way, you will need to first configure the types of sales that your organisation has, what we call sales types. They will feed through to your royalty schedule in your contracts. They enable the system to know which category to place any sales. For example: Home Sales, Export Sales, Trade Sales, Book Club, etc. These sales types will signify previously agreed discounts. IE: Special Sales orders may get a 65% discount on the RRP.
Sales types are independent to product form; the relationship between the two occurs at work / title level.
A sales type can be applied to an individual sales record, or can be applied to an Organisation's record a default sales type. NOTE: If a sales type is applied to an individual sales record, this will take precedence over any sales Type set for the Organisation.
To create a new sales type, navigate to Sales / Royalties, then Configuration and Sales Types. In the image below, we've already added several sales types so you can see how they will appear when you access this part of the system.
Click Create New or click on an existing item to edit it.
You should then fill in the fields. The details of what items are required are listed in the table below. The fields marked with an asterisk are mandatory.
Code |
This is only required if you are importing from another system such as Bradbury Phillips or an accounts package. Set the code to the equivalent of the code within the source system. e.g.: H for Home Sales. |
Name* |
The name is what you would like to appear on your royalty statements; you will also see this on various import and configuration screens. |
Copies Required |
You check this if copies are required with the imported type. Generally this should be ticked and only excluded for rights sales where you will not receive copy information but rather receive value of sales only. |
Firm Sale | Check this box if there are no returns under this sales type. |
Ignore in Preflight |
This is for non-royalty sales types, which do not need to be checked in the Royalties Preflight before a royalty run. |
S & D Percent | This is a percentage figure that allows the Production system to allocate a proportion of sales revenue as a Selling and Distribution cost when running up a P&L. |
When you are done, click Create. The sales types screen now has your new sales types added. Repeat as necessary for all the different types of sales that your organisation has.
Individual retailers can be configured to have a default sales type. This is done from within Organisation Admin found under the Contacts menu item. You can then draw from this information when you are establishing royalty rules for a title.
