Manually Generating an Onix File Follow
The Title Manager module is set up to generate ONIX messages automatically on a schedule, and to send them out to the recipients established in the ONIX Destinations tab. You can, however, generate separate ONIX messages yourself if the need ever arises.
The easiest way to do this if from a particular title's record within Title Manager. The first item to ensure is ticked is the 'include in onix' traffic light within the main Book List.
You have two options from this screen. First, you can click into the relevant title record and then click on the download cloud icon to the top right-hand of your screen. In the following screenshot, we have circled it in red:
You can also download the file directly to your computer through the Book List, clicking onto the 'ONIX' button shown here:
You may also want to generate an ONIX file for more than one title. In fact, you will probably need to do this when in the testing phase for Nielsen Book Data, for instance. To do so you should navigate to the following menu item:
- Onix / Dest and then choose Generate Onix.
This will then open up another screen as show below. From there you should follow the steps detailed below:
There are two options that are available to you. You can generate a default Onix file for your entire catalogue. Clicking on the button marked: Generate Onix will do this for you, downloading it to your local computer within your downloads folder. You can then send it in an email as an attachment or move it to an orgnisation's FTP site.
Alternatively, you can filter the system using a number of different functions as described below:
Current Destination:
Changing this field will pull in information from the ONIX Destinations that you have previously set up; it will apply all filters and settings (Onix 2.1 or 3.0 for example) that are set on that destination. A new button will then appear allowing you to send direct to that destination rather than downloading to your computer first. We have circled the item we are referring to in red:
- Show: There are three options here to establish which records you want in your ONIX message:
- All Records: By clicking on this you will send a full-title feed.
- Changes Since Last Send: When you click on this option, the number under the Book Count field will change to reflect a smaller set of titles rather than the complete set of titles on your system. It will only generate an ONIX message for titles whose data has changed since the last feed was generated.
- Select Titles: When you click on this option, your list of active titles will come up see image below. You can then choose the relevant books manually. You can see the Book Count at the top of the page increasing and decreasing as you tick and untick the titles. Please note that this means you will need to tick title by title, which could take awhile if you have a larger backlist. A solution for this would be either of the following:
- You could create a book list & populate it in your Title Manager module. This screen will respect that selection.
- Alternatively if you want to filter to an imprint or supplier, you can create a new destination & filter the suppliers (etc) in the destination filters. Instead of the default destination, select the new destination and the filters will be applied.
