Creating a Rights Contract Follow
Before creating a new rights contract, you need to first have configured your rights descriptions. Once those are in place, you can begin to add your contracts.
To do so, navigate to Rights --> Contracts.
Click on the Create New button and you will be taken to the following screen where you will input a lot of the key data related to the contract:
Check the relevant Linked to record box: either All Editions (Work) or This Edition (Content).
Find the title you are creating a new rights contract for in the Book field.
Select Rights Type from the drop-down menu, which will be populated with the Rights Descriptions you previously created.
Enter the ISBN and ISBN13, enter the Foreign Title of your book (if available), select the Company with whom you are making the contract, as well as the Primary Contact and Agent.
Add a Description in the space provided - this will be useful for future reporting.
In the Type&Executed section, check the correct boxes about your Agreement Type whether it is a:
- Proposal
- Sold
- Purchased
Also, check the correct boxes for the Status of your contract, if it is Pending, Executed or Rejected.
In the Contracts section, select the dates: Contract Publication Date and Actual Publication Date.
Enter the Contract Name, Contract Date and upload the Contract by clicking on the Choose file button, which will enable you to select the correct file from your device.
To add another file, click on Add another file. This allows you to upload and store all the documents related to this contract.
Check the correct Date Restrictions? boxes: either Date Restriction? or Reverted where appropriate.
When you click on Date Restrictions, two fields will expand: Start Date and End Date. When you click onto Reverted, the date of reversion will need to be added alongside the tick box.
Please note that this information will be used for the Expiring Rights section of the Rights module.
The next section has several tabs.The first one is for the Territories that this rights contract refers to.
Territories/Countries & Languages:
To set Permitted Territories for your Rights Contract, select from the drop-down menu. To add another, click on Add another territory. To delete a territory, click on the bin symbol in front of the relevant territory.
To exclude a territory, click on the Exclude Territories on the right-hand side and new fields will show up:
Select the territory from the drop-down menu. You can exclude as many territories as needed by clicking on Add another territory.
Follow this same procedure for setting Countries and Languages.
Copies:
Clicking on the Copies tab will open up new blank fields as displayed in the following image:
Check the box Copies Required? if relevant. Enter the Quantity, Received Date and then check the Format boxes to keep track of what copies were sent out. You can also store here whether author copies were sent out.
Advances Costs:
This is where you can add info about the advances and costs related to this contract:
Depending on what kind of rights these are - purchasing them or selling them - will determine which of the following check boxes are displayed and ticked: Owed by (Your Organisation) or Due to (Your Organisation).
Enter the Agent Percent, Royalty Percent and Digital Fee. Check the Fee Paid box if the fee has been settled.
Below that section are fields where you can add the Advance amount, and select the correct Currency, select Due date, enter Invoice number, Inv.Date, Inv. Due Date and check the box if it is Paid.
Co-Edition Tab:
Here is an area where you can store information related to any co-editions that have been sold. Check the Reprint? box if applicable.
Enter the Expected Date, Units, Price/Unit, Currency and Exchange rate.
Click Update to save the information.
Files Tab:
Here is where you will keep information about files you have sent or have received:
Clicking on the Send File? and Receive File? boxes to display new fields. In the image above, we've ticked them both so you can see the fields all expanded into place.
Select the Received date and add any Comments you might have.
Rights Schedule:
This schedule is created through Production Manager --> Schedule Templates --> Default --> Rights Schedule.
Follow Up Tab:
Select Next Action and Due date. Choose Assignee from the drop-down list of your already configured assigners or click on the note symbol to enter a new one.
Select a Follow-Up Date and check a correct Repeat? box. There is also space for a Follow-Up Note.
History Tab:
When you are finished, click on the Create button and your Rights Contract is ready. You can re-enter the contract at any point to make changes or updates.
